Refund & Cancellation Policy

We understand that plans sometimes change. This policy explains how cancellations and refunds are handled for the 2026 Nordic Hapkido Seminar & Tournament.

1. Cancellation by the Participant

Participants may cancel their registration by contacting the organiser in writing at info@nordichapkido.se. The date on which the cancellation request is received will determine whether a refund is available.

2. Refund Deadline

Cancellations received on or before 2026-09-30 are eligible for a refund. The current Refund Deadline is also displayed in the event administration and may be communicated on the official event website.

3. Cancellation Fee

Approved refunds made on or before the Refund Deadline are subject to a Cancellation Fee of 250 SEK. The remaining balance will be refunded using the original payment method whenever possible. The organiser may waive the Cancellation Fee in individual cases.

4. After the Refund Deadline

Cancellations received after the Refund Deadline are not normally eligible for a refund, except where required by mandatory law or where the organiser approves an exception.

5. Event Cancellation

If the 2026 Nordic Hapkido Seminar & Tournament is cancelled by the organiser, all paid registration fees will be refunded in full. The organiser is not responsible for additional costs incurred by participants, including travel, accommodation, meals, visas, insurance or currency exchange, except where mandatory law provides otherwise.

6. Exceptional Circumstances

The organiser may, at its discretion, approve a full or partial refund after the Refund Deadline in exceptional circumstances. Examples may include serious illness, medical emergencies, visa refusal or other documented circumstances considered reasonable by the organiser. Each request is assessed individually.

7. Transfer of Registration

The organiser may allow a participant to transfer their registration to another person before the event. Transfers require prior written approval and updated participant information. Tournament eligibility or competition divisions may require separate changes.

8. Refund Processing

Approved refunds are normally initiated within 14 business days after approval and returned to the original payment method through Stripe whenever possible. Final processing times may vary depending on Stripe and the participant’s bank or card issuer.
